Privacy Policy

This policy explains what personal information 365vox collects, why, how it’s protected and the choices you have.

Who we are

365vox (“we”, “us”) provides AI voice receptionist services and is based in Toronto, Ontario, Canada. Contact: ema@365vox.com.

Two kinds of information

Information about you as a visitor or prospective customer. When you use our website or forms, we act as the organization responsible for your information.

Information about callers. When our AI receptionist answers calls for a customer, we process callers’ information on that customer’s behalf and according to their instructions. Our customer’s own privacy policy applies to those callers, and our Data Processing Addendum governs how we handle it. See also GDPR and PIPEDA and PHIPA.

What we collect from website visitors

  • Information you give us in forms: name, work email, phone number, industry, how your calls are handled today, preferred dates and times, and any notes
  • Emails you send us
  • Basic usage information, such as pages visited and actions taken (for example, clicking a button or using a calculator), if analytics are enabled

Our calculators and builders run in your browser; we don’t receive what you type into them.

How we use it

  • To respond to you and book the calls you request
  • To set up and provide our service if you become a customer
  • To understand how our website is used and improve it
  • To meet legal obligations

We don’t sell personal information.

Who we share it with

Service providers who help us run our business — for example, our customer database, email and website hosting providers — under contracts that limit their use of the information. We may disclose information if required by law.

Where it’s stored

Information may be stored and processed in Canada and the United States.

How long we keep it

Only as long as needed for the purposes above, then deleted or anonymized. Customer call data is kept for the retention period the customer chooses, up to 30 days.

How we protect it

Access is limited to people who need it, access to call recordings is logged, and call data is encrypted at rest.

Your choices and rights

You can ask to access or correct your information, withdraw consent or ask us to delete it, subject to legal limits. Email ema@365vox.com. If you’re a caller to one of our customers, please contact that business first.

Cookies and analytics

If analytics are enabled, our analytics provider may set cookies to measure website use. You can block cookies in your browser.

We’ll update this page when our practices change and revise the date below the title.
