Showing requests, taken properly: the seller first, codes never

A showing request at 9 p.m. should get an answer, not a confirmed time the seller never agreed to. Your AI virtual receptionist takes the buyer’s or agent’s preferred times, explains how showings work for that listing, and sends the request to the listing agent to confirm. It never gives out a lockbox or door code.

Three kinds of showing request

Who’s asking, and who lives in the home, change how the request is handled.

Someone asks to see a listing. The greeting says it’s an AI and that the call is recorded.

Three rules for every showing call

The seller agrees first

It takes times and sends a request. A showing is confirmed by the listing agent, after the seller agrees, never on the call.

Codes are never given out

No lockbox, door or alarm codes on a call, to anyone, however urgent it sounds. Access goes through your showing system or the agent.

Tenants get notice

In an occupied rental, the agent arranges notice before any showing. In California, for example, the law sets how a tenant is told (Civil Code §1954).

A request that asks for the code

A caller says the agent told them they could let themselves in. The virtual receptionist doesn’t give the code, and makes sure the agent knows.

The showing request the agent receives

Everything needed to confirm with the seller, in one email. The agent calls the seller, then the buyer or their agent, and the showing is set.

Comparing virtual receptionist services?

Live answering services usually sell monthly plans of minutes or calls. 365vox is an AI virtual receptionist that answers forwarded calls on the first ring, day and night, follows your approved answers and costs $0.75 a minute, billed by the second, with no plan.

Showing request FAQs

Can it confirm a showing on the call?
No, on purpose. It takes the request and the times that suit the caller, and the listing agent confirms after the seller agrees.
Why won’t it give out a lockbox code?
Because nobody on a phone call can be verified, and access to a seller’s home is the agent’s and the seller’s decision. It tells the agent at once instead.
How does it handle a rental that’s for sale?
It takes the request and flags it Occupied, so the agent arranges notice with the tenant first, as the law in their state or province requires.
Can buyer’s agents request showings through it?
Yes. It takes the agent’s name, brokerage, number and times, and sends a request the listing agent can confirm in one call.
What if a buyer wants to see it right now?
It takes the request, says the listing agent will confirm with the seller, and can put the call through to the agent on duty if your rules say so.
Does it work with showing software?
It takes requests by phone. If your office uses a showing service, put how to use it in your business rules, and it tells callers.
Can it cancel or move a showing?
It takes the change and sends it to the listing agent at once, who updates the seller.
What does a showing request call cost?
$0.75 a conversation minute, billed by the second. Most showing requests take two or three minutes.
